Minutes of Spring Meeting                                            May 7, 2003

1.     The meeting was held at Prince House in Saugus.  Hors-d'oeuvres and pizza were ordered and served.  Coaches overwhelmingly approved of food.

2.     Roll call of teams  - Twenty-two teams were represented (29 coaches total).

3.     Webmaster, Vaag Mosca, reported that web site was infected with a worm this year.  Web work was extremely difficult as site deteriorated.  With help of Kip Bryan, things are beginning to get back on track towards next year.  Currently over 900 pages on the site.

4.     Minutes of the fall meeting were distributed and unanimously approved as written.  Tony asked that if you did not receive email from him but would like to be on his list, please email  IMLEMCONTACT@aol.com  and ask him to put you on the list.

5.     It was reminded that starting with the 2003-2004 season, the terms “Division” and “Cluster” will be reversed.

6.     Tabulator, Bob Velevis, was unable to be present, however, Tony asked that all coaches keep track of which students should be on top scoring list and check the spelling carefully since this is what Tony will use to order trophies.

7.     Test Writer, Kent Findell, stated that he is still struggling determining level of difficulty of many questions.  He appologized for the error in the answer key in category 4, meet 5.  The correct answer sheet was distributed. Kent shared a rewrite of a question.  Kent welcomes specific comments and suggestions.

8.     Vaag suggested that cell phone use would have helped in contacting meet sites for meet 5 problem.  Proposed solution:  Each VP will give a cell phone # (if they have one) to Kent.  Kent will distribute his cell phone # to each VP.  When someone finds an error, they can call Kent who can then alert each other meet.  Although not perfect due to some meets taking place on different days, it should be better.

9.     Treasurer's report, presented by Kelly McCormack:  Balance with some bills still outstanding:  4,636.95  Expenses from the spring meeting (including trophies and plaques) will come out of the balance.   The estimate is up from previous year.  The report was approved unanimously.

10. The topics for 2003 - 2004 will remain the same.  There was some discussion about inserting factorials in the future.  Vaag will give Kent some info.

11. Cluster configurations for 2003 – 2004 were distributed.  They may be changed if enough schools drop math team to make some clusters too small.

12. Nominations for officers were called for.  It was moved and unanimously approved to maintain the President, Test Writer, Treasurer, and Tabulator as is.  Kip Bryan was nominated and elected to replace Vaag as Webmaster.

13. Proposal by Kip to move website to a commercial site (www.IMLEM.org).  Cost would be about $150 per year.  Proposal accepted.  A link will be set up from old web site.

14. Some of bylaws are badly out of date and are in conflict with current practices of the league.  Kip will rewrite mistaken bylaws and bring proposal to Fall meeting.  Tony will help him in this endeavor.

15. Proposal by Tony to raise VP stipends by $xxx in an attempt to make the job more desirable. (redacted, see Advisors area)  One suggested that $ won’t help; people need to be more willing to take a turn.  Some suggested that with the possible loss of 3+ schools, it would be wiser to wait until the Fall to determine if we will have the money.  Proposal was tabled until the Fall meeting.

Respectfully submitted,
