Minutes of Fall Meeting September 24, 2009
The meeting was held at Diamond Middle School in Lexington, hosted by Kent Findell. Refreshments were served and the meeting was called to order at 3:45 pm.
Roll Call: 36 coaches from 29 schools. 59 out of 62 teams responded to emails.
The Minutes from the Spring Meeting were approved. In particular, the new language around deadlines was noted:
The deadline for submitting scores will be either 8 days after the meet dates proposed by the president at the Fall meeting or 24 hours after the last meet date posted online, whichever is later. Scores that are not submitted by that deadline will appear as zeros on the website until the results of the following meet are posted. After Meet #5, the deadline for submitting scores will be either 15 days after the meet dates proposed by the president at the Fall meeting or 8 days after the last scheduled meet, whichever is later, after which the scores will be zeroed.
Topics for 2009-2010 were distributed. (They were approved last spring.)
Kelly McCormack gave the treasurer’s report. The balance was $5059.60. There was a motion to increase the VP stipend .... Following a brief discussion, the motion passed.
Kip Bryan gave the Webmaster’s
report. Kip reminded coaches how to access the private advisors space on the
website. Coaches are encouraged to make use of other school’s tryouts and to
contribute their own.
Kip explained how to access [the coach mailing list]. All coaches should be on
this list. If anyone has trouble with this, they should email Kent at
kfindell at sch.ci.lexington.ma.us. (Note that this is distinct from the imlem.org mailing list, which is open to anyone.)
Kent Findell gave the Test Writer’s report for Avi Nagar who was unable to attend. Kent related that Avi wrote all five meets over the summer and that Meet #1 looked good.
Kent Findell gave the Tabulator’s report for Rick Yanco who was unable to attend. The Ring Central number remains the same as last year: 1-877-252-6487. Coaches were asked to consider the question of whether to post first name and last initial of high scoring students to the website.
It was acknowledged that the Meet #1 date of October 22nd conflicts with the Regional Conference for NCTM in Boston. The official date for Meet #1 was changed to October 29th, but Clusters can still choose to meet on the 22nd.
New Geographic Clusters were distributed. There were no major changes. Some Clusters grew to 7 towns, and one Cluster 5 shrunk to possibly four towns. Cluster meetings began at 4:25 PM.
Kent Findell interrupted the Cluster meetings to have coaches vote in the new Divisions. The new Divisions were accepted.
